Jan Alonso knows a thing or two about school accounting software. Prior to joining Gilroy High School in 2000, Jan worked at the district level, using county-based accounting systems, as well as Excel, QuickBooks, Quicken, etc. Upon arrival at Gilroy High School, Jan learned that the school's athletic and activities director had purchased BlueBear's Tracks program to automate accounting processes and eliminate paper receipting and manual data entry. “I was really happy that the software was here and ready. With so many students, it was a great benefit to shorten waiting lines for making payments. Plus, when you get in and run reports and see the information that's available, it's actually fun!”

In addition to Tracks, Gilroy High School also acknowledged that it was time to offer an online payment solution for items such as AP test fees and an annual fundraiser, but chose another solution that they used until this past year. In 2009, ActiveEducate's WebStore was selected as it offered integration with Tracks and SchoolBooks, which Jan has been successfully using since starting to work at Gilroy HS. “WebStore transactions are transparent, from the online purchase to bank reconciliation and fund accounting. We have information at our fingertips, limiting the amount of work that we have to do internally, and limiting the amount of time our students and families wait in line. Now with WebStore, we can easily collect and track payments, and parents receive an automatic confirmation of payment following each transaction. We all benefit.”

Jan notes the school sells everything from PE clothes and sweatshirts to hats, yearbooks, and other seasonal items online. “Next we will try offering lab fees, then maybe prom and winter ball dance tickets on the WebStore, too. We hadn't done the dances before because students must meet academic eligibility requirements, confirm permission slips and clear fines, but the WebStore can help us with these requirements.”

Although fairly new to the ActiveEducate WebStore experience, Jan notes, "Of particular interest to us is the ability to determine convenience fees both globally and individually to the items, the use of clearing and expense/income accounts in relation to the fees and sales, the seamless communication to and from the WebStore, Tracks and SchoolBooks, and the clear audit trail. It is obvious that a lot of planning, thought, and time went into the WebStore program. I look forward to expanding our WebStore for our community and thank ActiveEducate for helping to make my job easier!"

First event of 2010 scheduled at Castro Valley High School

Our next Get ActiveEducated event will feature Sandy Stiving, Financial Secretary at Castro Valley High School, to discuss how they've been successful in using ActiveEducate's WebStore, Tracks and SchoolBooks software to offer parents and students online payment options for school items. School Standout: Merit School of Music

ActiveNet frees up admissions staff to spend more time on recruiting

The Merit School of Music was founded in 1979 on the desire to provide life-changing experiences for children through music. This year, the school will reach 7,000 young people, in ages ranging from newborn to 18 years, at nearly 90 locations throughout metropolitan Chicago. Merit offers a sequential continuum of music education for children, from early childhood classes and vocal group instruction, to private lessons, theory classes, musical theater and jazz studies.

With a growing student population, Merit selected Active Network's ActiveNet registration software to integrate the work of three separate systems into one centralized, Web-based system. “We aim to eliminate duplicate efforts and better utilize the talents of our admissions staff, affording us more time to spend with families and less time correcting or proofing data entry errors. So far we have the full admissions team on the system producing all work related to enrollment, our front desk operations staff using it daily to assist families making payments and inquiring about class availability, and our programming staff using it to produce reports, attendance, faculty and student schedules, and soon, payroll. Using the ActiveNet system, we expect to have better information, consolidated efforts surrounding workload, and trusted information for our families, faculty and staff.”
